1.0 INTRODUCTION

Electronic Records Management System or can know as ERMS is the system that use to store, manage and also keep the records in digital form. But there are great challenges in managing e-records to users and professionals in records because of the nature that the e-records existed and created. It is because E-Records are complex, created in different formats and types, very sensitive and not stable as compared to paper records. Due to complexity of the e-records, the methods and approaches of managing them are also different. These differences are on the basis of characteristics of e-records created, format and type of e-records, technicalities and technical complexities, technological platforms and others.

The advantages of the Electronic Records Management System (ERMS) are the saving space, reduction of costs and finally access to information.

i Saving Space
Space that use to store the records in manual is cost a many money. And to make sure to save the money to buy or create the space to save the records, the Electronic Records Management System (ERMS) can help to store the all record in digital way and it is can be save the space. To store the records in Electronic Records Management System (ERMS), all the records that have in manual will be scanned and also will be converted into the computer files to store in CD-ROMs. CD-ROMs is taking the small space to keep it and not like the file’s cabinet or rack that need the more space to keep it.

Besides that, the records that save in floppy disk, hard disks, CD-ROMS and so on not a stable as traditional media and also much a faster rate than a paper and also microfilm. If the storage of the records do not modified, that storage will unable to use again for nowadays and besides that, that storage such as floppy disks, CD-ROMS and so on also cannot be save and cannot be protected. Because of that, when preparing to store the important records, it is important to make sure that all the format of the records is one that will last for it is entire useful life.
