G201-2013 Article 1
AIA Document G201-2013 is intended to be used in conjunction with a project specific AIA Document E203-2013 which the Parties will incorporate into their Agreement for the project. This document allows the Project Participants to document the Digital Data protocols for the Project. The specific modeling requirements are addressed in greater detail in G202-2013. The protocols are established in the form documents, rather than in the Agreement, because it is likely that the protocols will change as the project progresses and the Project Participants would have to amend all of their agreements every time the protocols changed which would be unnecessary. Depending on the size and complexity of the Project, a centralized electronic management system can be simplistic or very complex. This allows the Project Participants to agree upon the appropriate system for the specific Project. Some issues that can be addressed in this section would be access rights, and ownership of such a document management system. Access issues can be based on which personnel have the right to access the records or time specific access after the Project is concluded. The Project Participants should also try to outline what the system is attempting to achieve such that there is no cause for misinterpretation. If the system agreed upon requires a license, this would be where it would explain each Project Participant’s role in obtaining such a license. Section 2.1.2 allows for any training or startup requirements to be implemented with the use of any management of Digital Data. This type of training would be necessary on a Project that requires a very complex centralized electronic management system that each Project Participant may not be familiar with. Section 2.1.3 is very similar as it allows for ongoing training or support programs to be implemented throughout the management of the Digital Data such as a consultant or hired employees with the sole purpose of training the correct implementation of the data management system. Section 2.2 set forth the conditions as to which the Digital Data is to be stored during the course of the Project. The Digital Data can be stored in a number of ways including a single Project Participant’s server, multiple Project Participant’s servers, or hosted by an outside provider.
