Communication guidelines Project communication guidelines allow establishing a foundation, certain type of code of behaviors for information exchange between the lobbies involved in project. It also identifies the key rules for creating or receiving the particular document, and the frequency of the document receiving/sending. Guidelines give an understanding of the project communications management plan, its purpose, the respective process and phases of development. Communication process needs to be efficient and effective. To communicate effectively, project managers must have a good understanding of the communications process and high level of emotional intelligence. Communication process requires a sender and receiver. The sender formulates the message to communicate, which is meant for a receiver. The sender creates the content with some intent in mind. Receiver may accept, revise, or reject the message. Communication also requires a medium to transmit the content of a message. The medium may take any form, each unique in its ability to influence the receptivity and also affinity or rejection of a message. Feedback is another indispensable part. It may be positive, negative or neutral, indicating the receptivity of the sender and receiver. Feedback can also be simple or context. Communication process is not too clean; there is always a noise around ourselves, which disrupts the connection, just like in analog fundamentals. Noise can affect the degree of receptivity of a message and the feedback on the part of the sender or receiver. Communication process takes place in a context or setting that influences results. This context involves time, space and structure. Time may refer to the day of the week. Space may be the location of a person or an organization, in our case project spread over the geographical area.
