Hello Class. The sender of this email is the Budget Department, and the receiver is the Brandenburg Team. The email intends to get a confirmation of what was put out at a meeting, though it needs to be clarified what the sender is asking. The team missed something from the last meeting and is requesting clarity. The email is not persuasive in getting the recipient to act because it demands action but is unclear and lacks specific details. The sender does not provide enough context or instruction for the receiver to respond accordingly. What are the budget parameters, and what outside limits is the sender referring to? Do they need to know boundaries for costs or time, or do theyneed to know what flexibility they have? They request it be expedited because it is a priority, but there is no deadline given or consequences for not sending information. In chapter 6 of “On Writing Well,” William Zinsser gives excellent advice. He says to read your words aloud, and you will begin to hear where the trouble lies. Try reversing a sentence or substituting a word (Zinsser, 2006). If the sender had read the email aloud, I think they would have recognized that the message was unclear. When requesting information, you should be specific about what you need. The sender should include what type of limits they are referring to and write clearly for the intended audience. To clarify this email, I would add more context. To: Brandenburg TeamFrom: Budget DepartmentSubject: Confirmation Requested by December 15thGood Morning Brandenburg Team,Budget parameters were outlined in last week’s meeting. We are working to build contingencyfunds with the current budget and require some additional information. Could you please confirm the upper spending thresholds regarding the budget parameters? This should include any unexpected cost increases and emergency situations that your team might be preparing for, as well as any legal issues or regulatory requirements we should be aware of. I request that the information also be forwarded to production for visibility purposes. Please respond by December 15th, as this is a priority for my department. Thank you for your time.Thank you, Nikki
