Many people spend most of their day in a frenzy of activity. This doesn 't equate to satisfactory work output. The 80/20 rule means that 80% of unfocused efforts generate a 20% result. You need to allocate your time and resources effectively. Depending on your makeup this will differ from person to person but the following apply to creating good efficiency. Make a list at the end of each day for the following day whilst your mind is fresh, take that list first thing in the morning and list it in order of importance and realistic time lines. Do the important things first especially if it involves conflict or will seriously affect your time line. If you don 't you won 't be able to get it out of your mind whilst doing other tasks. Number your list in order of priority. Let things slide to another time if they don 't impact on your critical time line.
2/ Time wastage
Develop a timeline. Its length will depend on your job. Your diary should be marked up at least a week in advance, probably a month & possibly a year. Move your diary around your critical time line or events that cannot be moved i.e. seminar or deadlines. Give yourself adequate time for your daily diary especially for time outs and breaks which we overlook it things get too busy and we start to stress over the time disappearing v/s tasks that need to be completed.

Most professionals agree that you need to allow a contingency of 30% to 50 % in your daily time line. Delegate tasks, if someone can do the task 80% as good as you and they have the time delegate it. Delegate early in the day to give you more time to concentrate on your major goals for the day. This can also be done at the start of a week or the start of a new component or task.
