1.1 Explain how the organisation works The company has been trading since 1993 through the parent company Inenco. We are predominantly sales based, organising energy contracts for small to medium businesses. We have a sales force that generates sales and a team of admin who deal with the paperwork and ensure that contracts go live. We also work closely with NIFES who provide a consultancy service to help businesses reduce their energy consumption. If we come across a customer who we believe will benefit from a NIFES’ consultation we pass their contact details over so that a consultant can get in touch. They arrange either a telephone consultation or a site visit depending on the customer’s requirements. 1.4 Explain your main responsibilities, how these fit into the organisation’s structure, and how these contribute to achieving your organisation’s mission My main responsibility is to support the Account Manager’s in our retentions department. I work with them to produce and process contracts for their customer’s. It is my responsibility to ensure that suppliers accept the contracts and process notice of termination to ensure that the supply is free to transfer. It is important to ensure that the information we have if correct to avoid leakage and complaints. It can also help if your colleagues have more knowledge in different subjects where you do not have as much and vice versa. People tend to have more knowledge in different areas; working in a group usually means all subject areas will be covered. This also provides the opportunity to learn something new which you can pass onto others in the future. When a group of people have a set goal between them, a great way of working together is to designate a role to each person which plays to their strengths. This way people can do their individual work efficiently and to a high standard, once complete, everything can be brought together, checked over as a team and presented. 2.2 Describe situations in which working with others can achieve positive results Within the admin position at Inenco Direct a lot of the work we do is on an individual basis. However, if we are having a very busy day we will all work together to ensure that our agents receive enough sales support to get their job done. If one admin has a lot of contracts to draw up or book in we will all help out. It is important that all contracts are drawn up and sent to the customer as soon as possible to avoid missing out on a sale. It is also important to make sure that all contracts are booked in on the system to ensure that the daily figures sent to the sales director are correct.
