According to the Building Success 2 manual (2006) one major responsibility of facilitators during a seminar is to allocate tasks to the audiences. This means making decisions about who should do what. In making these decisions an effective facilitator has to make judgements about: • The set of tasks that has to be completed • The set of individuals able to complete them The facilitator’s goal is to find the best fit between the two. Badly prepared presentations usually don’t go well and will only capture the attention of your audience for all the wrong reasons. One method for allocating the appropriate type of tasks to team members is responsibility charting. Responsibility charting involves identifying who is best suited to dealing with a situation or issue in a certain way by identifying four roles that individuals adopt in relation to a decision. This is why it is important to know the type of audience attending the seminar to aid easy allocation of tasks. Arrange Initial Meeting If the presenter has left it up to you to find your group members, do this quickly. If they have been decided, arrange a meeting as soon as possible. Don’t leave this up to someone else, it might not happen. Try to set the meeting up following the seminar when everyone is usually free
